Position Description
Meeting Planner/Advocacy Coordinator
National Association of Agricultural Educators

Title: NAAE Meeting Planner/Advocacy Coordinator

Reports To: NAAE Executive Director

Supervisory Responsibilities: No direct supervision of full-time or permanent part-time employees; with input from senior staff (executive director and associate executive director), some supervision of temporary part-time employees, student workers and student interns.

Salary and Benefits: Salary commensurate with experience. Benefits include a contribution to a health insurance plan (including options through the University of Kentucky), retirement plan, annual leave, sick leave, and other benefits as stated in the NAAE operating policies.

Qualifications/Requirements:

Education: B.S. or B.A. degree in agriculture, education, public policy, hospitality, business, administration, or closely related field. M.S. or M.A. degree
preferred.

Skills: Strong communications, leadership, and management skills; ability to
work with diverse people; self-motivation, initiative and ability to work
with limited day-to-day supervision; general computer software skills and
knowledge; ability to travel independently throughout the United States.

Experience: Training, experience, and understanding of meeting planner
responsibilities in association management. Training, experience, and
understanding of grassroots advocacy in association management.
Knowledge and experience in agriculture, education, agricultural
education, public policy, and career and technical education preferred.

Job Summary: Serve as the meeting planner and grassroots advocacy coordinator for this 501(c)(3) not-for-profit education-related professional membership association, which serves school-based agricultural education professionals throughout the United States and its territories.

General Duties and Responsibilities:*
Report to the executive director on official human resources/personnel related matters, including annual performance appraisal, and advocacy initiatives. Report to the associate executive director on day-to-day assignments, projects, and initiatives.

Perform meeting planning for all NAAE activities and events including, but not limited to:

  • NAAE convention
  • Regional NAAE meetings
  • NAAE activities at the National FFA Convention
  • Agricultural Education Strand of the ACTE National Policy Seminar
  • and other events as needed

Coordinate travel arrangements for NAAE travelers including, but not limited to:

  • NAAE board of directors
  • NAAE staff
  • NAAE award recipients
  • Participants in NAAE projects and activities (such as Agriscience Ambassadors, professional development workshops, and other current and future initiatives)
  • NAAE summer interns
  • Coordinate grassroots advocacy efforts for the agricultural education profession including monitoring public policy initiatives related to school-based agricultural education, coordinating NAAE’s efforts with the state advocacy leaders, communicating with members and others on key public policy initiatives related to school-based agricultural education, providing professional development to NAAE members (and others) on grassroots advocacy.
  • Assist with logistics for NAAE awards/recognition, scholarship, and internship programs.
  • Complete invoicing for project travel expenses, especially special projects of the NationalFFA Foundation.
  • Assist with project management as assigned by the executive director and the associate executive director.
  • Operate within the approved budget of the organization related to meeting planning for NAAE.
  • Exemplify traits as outlined in the NAAE Leadership Handbook.
  • Other professional duties as assigned by the executive director and associate executive director.

Review Process: NAAE will begin to review applications for this position on April 20, 2012 and the review process will continue thereafter until a suitable applicant is identified and hired.  The beginning date for the position will be agreed to jointly between NAAE and the successful applicant.

Application Deadline and Review Process for all Internships

Completed application packets should be sent to the NAAE office postmarked no later than February 1, 2012. Applications sent via facsimile or electronic mail will not be accepted. The review process will begin as soon as application packets are received. The successful candidate and unsuccessful candidates will be notified in writing as soon as possible but not later than April 1, 2012.

Advocacy Internship

NAAE anticipates hiring one advocacy intern for the summer of 2012. The advocacy intern’s primary assignment will be to assist with national advocacy for school-based agricultural education. Under the supervision of the NAAE executive director and the ACTE senior director of public policy, the intern will assist in influencing individuals and groups in the Washington, DC metropolitan area who are in a position to support school-based agricultural education as a part of our nation’s career and technical education system. Such groups and individuals include, but are not limited to, members of the United States Congress and their staff persons, agriculture- and education-related organizations, and federal mission agencies. The intern’s duties will vary from assisting with NAAE’s and ACTE’s day-to-day public policy activities, to working with agriculture teachers who are attending National FFA’s Washington Leadership Conference program, to conducting personal visits with members of Congress and their staff persons.

This will be an 8-week assignment. The exact dates of the internship are negotiable. The internship may begin as early as late-May 2012 and end as late as mid-August 2012.

The intern may also be invited to attend the 2012 NAAE Convention in Atlanta, Georgia, in November 2012 as a member of the NAAE convention staff. All NAAE convention travel expenses will be paid by NAAE.

The intern will report to the NAAE executive director. All completed work is subject to the approval of the NAAE executive director.

Position Requirements

Education: As of July 1, 2012, candidates must be rising college juniors or seniors, post-baccalaureate students completing teacher certification requirements, or graduate students. Candidates must be majoring in ag ed and be planning to teach agriculture in a school-based setting at some level of instruction.

Skills: Strong communication skills (writing and speaking) and word processing required; some skills with database programs preferred.

Experience: Training and experience in advocacy, government relations, public relations, and/or communications desired; agricultural education experience as a student and/or teacher desired.

Location

Even though the NAAE main office is in Lexington, Kentucky, the advocacy internship will be located in Alexandria, Virginia (Washington, DC metropolitan area) at the Association for Career and Technical Education (ACTE) located at 1410 King Street, Alexandria, Virginia 22314. NAAE maintains an office at the ACTE building.

Compensation

The compensation for the internship will be $3,000 total. The final paycheck may be held until all assignments are completed to the satisfaction of the NAAE executive director. In addition, one coach-class, advance purchase, roundtrip airfare (or mileage at the NAAE reimbursable rate, whichever is lesser) from the intern’s current location to the Washington, DC metropolitan area will be paid. Other expenses, including housing, meals, and incidental expenses while in the Alexandria, Virginia/ Washington, DC metropolitan area, will be the responsibility of the intern.

Communications Internship

Position Description

NAAE anticipates hiring two communications interns for the summer of 2012. Each communications intern’s primary assignment will be writing award citations, news releases, presentation scripts, and newsletter entries for 2011-12 NAAE award winners, contacting award winners for photographs, and other NAAE communication related tasks. The writings will be included in publications such as the 2011-12 NAAE Annual Report (a web-based document), NAAE News & Views, other ag ed publications and local newspapers of award winners.

This will be an 8-week assignment. The exact dates of the internship are negotiable. The internship may begin as early as June 1, 2012 and end as late as August 31, 2012. The interns may also be invited to attend the 2012 NAAE Convention in Atlanta, Georgia, in November 2012 as a member of the NAAE convention staff. All NAAE convention travel expenses will be paid by NAAE.

The interns will report to the NAAE associate executive director. All completed work is subject to the approval of the NAAE associate executive director.

Preference will be given to candidates majoring in ag ed and planning to teach agriculture in a school-based setting at some level of instruction.

Experience: Training and experience in professional writing, such as writing for mass media; agricultural education experience as a student and/or teacher desired.

Location

NAAE is located in Lexington, Kentucky, in collaboration with the University of Kentucky. The internship positions will be located at the NAAE office located at 300 Garrigus Building, University of Kentucky, Lexington, Kentucky 40546-0215.

Compensation

The compensation for each internship will be $3,000 total. The final paycheck may be held until all assignments are completed to the satisfaction of the NAAE associate executive director. Professional Development Intern

Position Description

NAAE anticipates hiring one professional development intern for the summer of 2012. The professional development intern’s primary assignment will be to assist with national professional development initiatives for school-based agricultural education. Under the guidance of the associate executive director, the intern will assist with program management of several national professional development initiatives including, but not limited to, the NAAE Awards program, NAAE Webinar program, National Agriscience Integration Institute, National Agriscience Teacher Ambassador Academy, National FFA Convention Teachers’ World, and professional development at the NAAE Convention.

This will be an 8-week assignment. The internship may begin as early as the completion of the intern’s spring semester in May. The intern may also be invited to attend the 2012 National FFA Convention in Indianapolis, Indiana in October as a member of Teachers’ World staff and/or the 2012 NAAE Convention in Atlanta, Georgia, in November as a member of the NAAE convention staff. All travel expenses related to FFA convention and NAAE convention will be paid by NAAE.

The interns will report to the NAAE associate executive director. All completed work is subject to the approval of the NAAE associate executive director.
